Terms of Service – Data Collection & Usage

1. Information We Collect

  • Parent/Guardian Information: Full name, email address, phone number, residential address, emergency contact details.
  • Child Information: Full name, date of birth, medical and allergy information, and booking details.
  • Booking and Payment Data: Booking history, payment IDs, receipts, and usage records.
  • We do not collect or store card or payment details. All transactions are securely processed through Stripe.

2. Purpose of Collection

Your data is collected for the purpose of delivering childcare services, managing bookings, ensuring child safety, processing payments, and meeting our legal obligations.

3. Consent

By registering on our platform, you confirm that:

  • You are the legal guardian of any child whose information you provide.
  • You consent to the collection and use of this information for the purposes listed.
  • You understand that medical or allergy data is optional but may affect care provision.

4. Data Sharing

We do not sell or share your data with third parties for marketing. We may share limited information with staff, service providers, or payment processors (e.g. Stripe), and with legal authorities when required.

5. Data Security

We take steps to secure your data using encryption, secure storage, and access controls to prevent unauthorized use or loss.

6. Data Retention

Your data is kept only as long as necessary to provide our services and meet legal requirements. You may request access or deletion of your data by contacting us.

Refund Eligibility

Vacation Schools Australia offers refunds under the following conditions:

Eligible refunds can be requested via your dashboard under the ‘Upcoming Bookings’ section. (Full refunds only)

  • Refunds are available if requested at least 24 hours before the scheduled booking.
  • Refunds may also be requested within 4 hours of payment, provided the booking has not yet occurred.
  • Refunds are not available for change of mind, missed bookings, or cancellations made less than 24 hours before the scheduled service.
  • Non-Attendance: No-shows without prior notice will not be eligible for a refund.
  • Illness: If your child is unwell and cannot attend, please notify us as soon as possible. Partial refunds may be issued at the discretion of our administration team if reasonable notice is given.
  • Processing Fees: All approved refunds will have a small processing fee deducted. This covers payment handling costs which are non-refundable to us.

Service Failures

Refunds or rescheduling may be offered if the service is cancelled by us or fails to meet reasonable expectations under the Australian Consumer Law.

How to Request a Refund

For eligible refunds, a refund request can be done via:

If your booking does not meet the above conditions and you would like to enquire about a refund, please contact our team at:

Please include a brief explanation of circumstance and why you are requesting a refund.

Include your booking reference and a brief explanation. Refund requests must be submitted within 7 days of the original booking date.
